The Challenge
Formwork is one of the most schedule-critical trades in construction. If the formwork crew is late, the concrete pour gets pushed back, and every trade behind them gets delayed. LF Formwork understood this pressure and had built their reputation on showing up on time and delivering quality work. But as the business grew from a handful of jobs to multiple concurrent projects across Perth, the systems behind the scenes started to buckle.
Crew scheduling was done each morning by the owner from memory and experience. Who was finishing up at which site? Who had the right tickets for the next job? Which apprentice needed to be paired with which experienced carpenter? It worked when there were two or three jobs running, but with six or more active sites, the mental load was unsustainable and mistakes started creeping in.
Timesheets were another major pain point. Crew members filled out paper timesheets at the end of each day. These were collected weekly, often illegible or incomplete, and someone in the office spent hours each week entering them into the system. Errors meant disputes, late payroll processing, and inaccurate job costing data.
Invoicing was slow because it depended on confirmed timesheet data and project milestone sign-offs that lived in different places. Progress claims to builders would go out days after milestones were hit, and by the time final invoices were generated, the details were often fuzzy. Cash flow suffered as a result, with average payment cycles stretching beyond 40 days.
The owner was spending the first and last hour of every workday on admin instead of on site supervising quality. They needed systems that could handle the operational complexity of a growing formwork business without requiring a full-time office manager.

We built LF Formwork a connected operations system designed specifically for the realities of running a formwork subcontracting business: multiple sites, mobile crews, milestone- based billing and tight scheduling dependencies.
- Centralised job scheduling system that maps all active projects, stages and deadlines across residential and commercial builds, replacing scattered spreadsheets and text messages
- Crew dispatch engine that assigns formwork carpenters to jobs based on skills, certifications, location and availability, with automated notifications pushed to crew phones each morning
- Digital timesheet capture via mobile that logs clock-on, clock-off and break times per site, eliminating paper timesheets and the hours spent reconciling them each week
- Automated invoice generation that pulls approved timesheet data and job completion milestones to produce progress claims and final invoices, syncing directly with accounting software
- Material tracking system that monitors formwork panel inventory, ply usage and consumable stock across active sites, triggering reorder alerts before shortages cause delays

The system was designed to be mobile-first. Crew members interact with it entirely from their phones. The owner can check project status, approve timesheets and review invoices from anywhere, whether on site or at home after hours.

Key Results
The new systems delivered measurable results within the first two months of going live.
The digital timesheet system alone saved 8 hours per week in data entry and reconciliation. Payroll accuracy improved immediately, with timesheet disputes dropping to near zero. Job costing data became reliable for the first time, giving the owner clear visibility over which projects were profitable and which were running tight.
